Custom software · Internal tools · Implementation

Your team should not work for the software. It should be the other way around.

TRICOT designs and implements internal tools, portals and systems around how the business actually works, with sources, permissions, states and exceptions defined before building.

01Source

Every critical data point has provenance and ownership.

02Rule

States, permissions and exceptions are defined before the screen.

03Use

The system is tested and implemented with the people who will use it.

Direct answer

Custom software makes sense when a stable gap remains.

Custom software makes sense when a stable operation needs rules, views or connections that existing tools cannot cover reliably. TRICOT starts with the process and source data, scopes the minimum system, tests it with users and implements it with permissions, documentation and maintenance criteria. If a standard solution fits, we do not recommend building for its own sake.

Symptom

The problem is not having many tools. It is working around them.

Spreadsheets, messages and manual tasks often compensate for what a system cannot represent: an actual rule, state, view or exception.

Building only helps when the gap is clear and the team can adopt the change.

01Copying data between systems to complete a workflow.

02Important decisions taking place outside the record.

03States and permissions that do not match the real work.

04Reporting rebuilt manually.

05Clients or collaborators seeing too much or too little.

Sometimes software is needed. Sometimes a decent configuration is enough.

Build gate

The rules come before the screens.

We determine whether a suitable tool already exists, whether the process is stable, which source is authoritative and who will maintain the solution.

01

PROCESS

A stable workflow with an owner

The system should not lock in a way of working that still changes every week.

The critical rule is validated before becoming code.

Conceptual exampleGate

Goal and user.

States and exceptions.

Acceptance criteria.

02

DATA

One authoritative source per domain

Interfaces derive from data with known provenance, ownership and quality.

The new tool does not become another parallel database.

Conceptual exampleData

Stable entity and key.

Create, update and archive.

Migration and reconciliation.

03

SYSTEM

The minimum that supports the decision

Dashboards, portals, internal tools or services are scoped by task and role.

The priority workflow is tested before modules expand.

Conceptual exampleProduct

Role-based view.

Action and permission.

Error and recovery.

04

MAINTENANCE

Ownership after activation

Dependencies, costs, documentation, support and evolution need an owner.

The client knows who maintains each component and how to exit.

Conceptual exampleHandoff

Versions and access.

Recurring costs.

Support or exit plan.

Build

Test the most important decision first.

  1. 01

    Scope

Choose the user, task, source, outcome and exclusions.

    Scope
  2. 02

    Prototype

Review the workflow before investing in the entire build.

    Validation
  3. 03

    Build

Develop in small, reversible and documented modules.

    Quality
  4. 04

    Test

Verify functions, permissions, errors and representative data.

    Acceptance
  5. 05

    Implement

Migrate, train, activate and assign maintenance.

    Adoption

Done does not mean the screen loads. It means the user can complete the agreed work.

Security and control

A useful system also knows how to fail.

Least-privilege access, server validation, secrets outside code, error states, useful logs, backup and recovery belong in the proportional scope.

01

Permissions reviewed by role and environment.

02

Private data resolved on the server when appropriate.

03

Empty, loading, error and success states.

04

Known dependencies and limits recorded.

The interface shows the work. The technical contract protects how it happens.

FAQ

Questions about custom software.

Building is not always more flexible or faster. It depends on the gap and its maintenance.

When does custom software make sense?

When a stable and central workflow cannot be covered reliably by existing tools.

Can you configure an existing tool?

Yes. When it solves the problem with less risk and maintenance, it is the preferable outcome.

What can be built?

Internal tools, portals, dashboards, operational CRM, entity masters, approval workflows or integration services.

How do you avoid another source of truth?

By defining the authoritative source and making views query or derive from it.

Who maintains the system?

Each proposal and handoff defines ownership, dependencies, costs and exit conditions.

Is training included?

Activation and training are included when scoped; they are never assumed without a proposal.

Initial consultation

Let us determine whether building is actually necessary.

Explain the operational gap and the tools around it. The first answer may be to build, configure, connect or wait.

Channel in preparation

We review the context first.
